Privacy Policy

Caliber helps businesses answer messages, qualify leads, and book meetings. This policy explains what information we handle and how we protect it.

1. Our Promise

We only collect information that is needed to run Caliber for your business. We do not sell your data. We do not use your customer conversations for advertising. We do not read private business data for curiosity or marketing.

Our goal is simple: keep your workspace working, help your assistant answer accurately, and protect the information your customers share with you.

2. What We Collect

Depending on how you use Caliber, we may store:

  • Your business name, email address, timezone, subscription plan, and login details.
  • Knowledge Vault content you add, such as FAQs, pricing notes, service descriptions, documents, and images.
  • Messages sent between your customers and your connected assistant.
  • Lead details found in conversations, such as a customer name, email, phone number, pain points, and meeting status.
  • Connection details for tools you choose to connect, such as Google Workspace, WhatsApp, Instagram, Facebook Messenger, or Telegram.
  • Basic technical logs, such as request IDs and error information, so we can keep the service stable.

3. How We Use It

  • To let your AI assistant answer customer questions using your Knowledge Vault.
  • To show your leads, conversations, summaries, and meeting progress inside the dashboard.
  • To book meetings when a customer agrees to a time and you have connected Google Calendar.
  • To send support responses, security notices, billing notices, and service updates.
  • To prevent abuse, spam, duplicate messages, unauthorized access, and broken integrations.

4. Connected Apps

You decide which apps Caliber connects to. If you connect Google Workspace, we use it to check calendar availability, create meeting links, and sync lead details to your selected workspace tools. If you connect messaging platforms, we use them to receive and send messages for your business.

Google data

The use and transfer of raw or derived user data received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, transfer it for advertising, or use it for marketing.

Third-Party AI Disclosures & Data Sharing:

To provide your AI assistant features, we transmit relevant message content and scheduling context to the following compliant third-party AI service providers:

  • Google Gemini API (Google LLC) - Primary chat & workflow model
  • Anthropic Claude API (Anthropic PBC) - Fallback chat & workflow model
  • OpenAI API (OpenAI, L.L.C.) - Fallback chat & workflow model

We explicitly configure our API requests to ensure these providers do not log, retain, or use Google Workspace user data to train their generalized AI or machine learning models. We do not share Google user data with any other third parties.

Google Workspace data

If you connect Google Workspace, Caliber may access your Google account email/profile, selected or app-created Google Drive files, Google Sheets used for lead/reporting workflows, and Google Calendar events used for scheduling. Caliber uses this data only to provide user-enabled features such as showing the connected account, syncing lead/report data to Google Sheets, checking scheduling availability, creating or updating meeting events, and generating Google Meet links. Caliber does not sell Google user data, use it for advertising, or use it to train general AI models.

Meta, Facebook, Instagram, and WhatsApp data

If you connect Meta services such as Facebook Pages, Instagram professional accounts, Messenger, or WhatsApp, Caliber may receive and process account identifiers, page/account names, message content, sender profile information provided by Meta, delivery/status events, and lead details found in conversations. Caliber uses this information only to send and receive business messages, show conversations in your dashboard, qualify leads, and support automation features that you enable.

Disconnecting and deletion

You can disconnect Google, Meta, WhatsApp, Telegram, and other integrations from the Caliber dashboard. After disconnecting an integration, Caliber stops future access through that integration. You can request account deletion or deletion of stored workspace data by contacting support at support.caliber.ai@gmail.com. Workspace data is removed from active production systems when deleted, while backups may take up to 30 days to rotate out.

5. Security

Encrypted secrets

Access tokens and channel credentials are encrypted before storage.

Protected passwords

Passwords are stored as secure hashes, not plain text.

Secure traffic

Dashboard and API traffic use HTTPS in production.

Access control

Users need valid login sessions to access private dashboard data.

6. Your Choices

  • You can update your business profile and disconnect integrations from the dashboard.
  • You can delete knowledge bases, documents, channels, and lead records where the dashboard allows it.
  • You can ask us to help export, correct, or delete account data by contacting support.
  • When a workspace is deleted, active production records tied to that workspace are removed. Backups may take up to 30 days to rotate out.
